Data Dictionary -- September, 2006

The Watermark Initiative Paper Registry is a relational database for the registration and description of papers and watermarks. It is organized by the principles of Entity Relationship Design, which means (among other things) that data are organized into files (sometimes called "tables") that are related to each other. Data are entered in a Data Entry window, and viewed either in an identical Browse Window (single records) or in List View windows (sortable lists of records).

INTRODUCTION

1. Organization by Files

The data dictionary is organized by files, which are ordered alphabetically in the Data Dictionary. Many users will be primarily interested in the files contaiining data directly related to paper --

  • the Paper File
  • the Watermark File
  • the Mould File.

Paper, however, is often of interest for its association with crucial related information -- persons (paper makers, artists, scribes…) organizations (paper mills, centers of book production, ateliers… or holding institutions like libraries and archives), paper bearing sources (books, manuscripts, documents, musical scores, engravings…), collections of such sources, stamps and seals, artistic and intellectual content, physical content… These kinds of data are all recorded in related files whose names are indicative of their content.

This Data Dictionary identifies and defines the data fields in all of these related files. At the beginning of each file is a brief description of that file's content and purpose.

New and Future Data Fields:

In the course of preparation of this Data Dictionary, the need for some new data fields has been noted by the author or by colleagues who have provided input. These fields, not yet implemented in the on-line version of the database, are marked in this Data Dictionary by a shaded background. Likewise, the standard system for entering dates and date ranges are coded by shaded backgrounds where ever it has not yet been implemented in the on-line version of the database.

3. Types of Fields

REQUIRED FIELDS. Required fields in the Paper Registry database are in most cases those containing identification data -- the unique identifier for each record (the primary key) and the data necessary to complete a viable identification. Descriptive data are entered in non-required fields. Every file except Organization and Person includes an identification drawn in part from a parent file. A paper, for example, is identified by reference to the source in which it is found; a paper bearing source is identified by the collection in which is is preserved; a facsimile is identified as an object like a paper bearing source, but also by reference to the prototype that it replicates.

Required fields occur in red. The database is programmed to prevent the creation of records in which these required fields are left blank. A few fields for descriptive data are required to avoid creation of incomplete or ambiguous data; e.g., the field, BCE (for indication of the era, BCE or CE, with century dates). Required fields are marked by an asterisk before the field name. The IPH Standard identifies as required fields those fields that correspond to the WMI Paper Registry's primary key fields..

NON REQUIRED FIELDS. Non required fields are for descriptive data of various kinds. Descriptive data are "non required" because it is assumed that descriptions may not be completed by inputters in a single session. Moreover, some data fields may of necessity be left blank by the inputter when the data in question are not known. It is assumed, then, that records of papers will tend to grow in completeness over time.

CALCULATION FIELDS (red fields). Fields which are programmed to guide the inputter through the process of entering required identification data when that data is drawn from other, related files ("parent files"), and/or to present raw data (sometimes drawn from other, related files) in standardized format or terminology. Data entry for these fields sometimes involves secondary data-entry windows where raw data is entered in a controlled way to generate (for the calculation field) prose descriptions in standard language for presentation. The same process is used to generate standard search parameters for searching. Red fields can not be left blank unless otherwise indicated.

STANDARDIZED TERMINOLOGY. To enhance searchability, standardized terminology is provided in the form of pop up menus or lists, or through calculation fields (see above).

DATE FIELDS. Raw data for dates (either calendar dates or century dates) and date spans are entered in a secondary date window which generates (by means of calculations) dates and date spans in standardized form (see above, "Standardized Terminology"). The raw data for these dates and date spans are retained in each record in hidden data fields. Searches of dates and date spans utilize the same secondary date window to enter date search parameters. Standard date fields are listed at the end of this data dictionary. (Not yet implemented in all files)

AUTO-ENTRY FIELDS. The following data documenting the creation of the record and its last modification are automatically entered into every record in corresponding hidden fields:

These auto-entry fields are defined by the IPH standard as required fields. They are not listed in this Data Dictionary because they are automatically entered into every record in the course of data entry.

KEY FIELDS. Key fields contain unique identifiers (I.D. numbers) for every record in a file. Their functions are (a) to establish relationships between records in different files and (b) to make possible the transfer of data from one file to another (as in the case of the calculation fields). These two functions are accomplished by two corresponding kinds of keys. Primary keys are unique identifiers of each record in a file; foreign keys are keys copied into one file from another file to establishrelationships between records in those two files. In each of the files constituting this Data Dictionary, the Primary Key is listed first. Foreign key fields are not listed in this version of the Data Dictionary.

In this database, an organization may have many collections, and a collection by definition belongs only to a single organization, the current holder of the collection. That information belongs to the public history of the collection and is beyond the scope of this database.)

    THE COPY FILE defines "copy" as an occurrence of a particular artistic or intellectual work in a particular source (such as a particular copy of a printed edition, a particular print from a numbered run of engravings, a particular codex etc.). A particular artistic work may occur in many sources; a particular source may contain many artistic works. It thus establishes a many-to-many relationship between these two files.

    FACSIMILE      Return to Contents

    Facsimiles are replicas or images of original prototypes such as watermarks, papers or other objects (e.g., stamps, paper bearing sources, paper moulds) that are described in the Paper Registry. In this file, then, both the original (prototype) and the facsimile itself are identified. The required data fields in this Facsimile file include (1) the identification of the prototype replicated or imaged in the facsimile, and (2) the data for identification of the facsimile itself, and descriptive data about the facsimile itself. Any prototype may have many facsimiles, but a facsimile can have only one prototype.

    Folios are leaves in a book or codex. As such, they are parts of sheets of paper produced by the sheet's being folded and trimmed and usually anchored into a binding by sewing and/or glue, staples or other means. If the source of a paper is a book or codex, or a portfolio composed of leaves, those papers are conceived of as belonging to leaves, which in turn belong to gatherings (quires) which in turn belong to the source or its part. A complete collation of the folios in such a source can be generated if the quires of that source have been defined first.

    The JOB file holds descriptions of ROLES related in any way to papers and paper production and use. A ROLE is a relationship between a person and an organization. Persons may have more than one role. For example, the same person may have been both the writer of a manuscript and the donor of the manuscript to a holding organization. Thus, a person can be associated with many organizations, each relationship defined as a role (job), and an organization can be associated with many persons, each relationship again defined as a role (job).

    The QUIRE file holds identifications of quires (gatherings) when the paper bearing source is a book, codex, or portfolio with leaves. Quires, then, are subdivisions of those paper-bearing sources, and papers are conceived of as belonging to quires which in turn belong to the paper bearing source (or its part). Quires are numbered sequentially by the data inputter, and the sequential list of quires constitutes the foundation for the collation for the source.

    DATE PROCESSING FILE (Data Dictionary of Standard Date Fields)

    In addition to the Date Processing File, all files whose records include dates and date ranges include the set of standard date fields listed below. This Date Processing File exists for the sole purpose of generating date ranges and generating (by the same process) the parameters for searches of date ranges.
